An Easy Way for Certified Legal Nurse Consultants to Organize Medical Records for Attorneys

There’s nothing worse than observing a testifying expert fumbling through the record, at deposition or trial, to find an entry the attorney is referencing. And there’s absolutely no excuse for a testifying expert to ever appear disorganized because of a sloppy record handed to her by an attorney. It’s in everyone’s (attorney, legal nurse consultant, experts, etc.) best interest to have one model set of records that is organized and paginated in a logical order.

There’s no one on the litigation team more qualified to organize the medical records than the Certified Legal Nurse Consultant and Bates stamping is the most popular way to paginate an organized medical record.

Bates stamping records manually always seemed like such an antiquated process – after all, it was first patented in the late 1800’s. I’m so glad Bates stamping has been contemporized. Today, Bates stamping medical records is easier than ever for Certified Legal Nurse Consultants.

Whether you have an electronic (PDF) copy of the record you can print out or a paper copy, first organize it, and then rescan the organized records into your computer. Once you’ve scanned the organized record into your computer in PDF format, you can then electronically Bates stamp it using Adobe Acrobat® 8 and higher. If the attorney uploaded the records into Dropbox® in PDF format, simply download the records, print and organize, then follow the same process as described above.

If you have Adobe Acrobat 8 or higher – follow this link for a simple tutorial on electronically Bates stamping a PDF file using Adobe Acrobat. One caveat: always remember to save the output with a different file name so that you don’t overwrite your original, existing file.

Bates stamping is now easier than ever for legal nurse consultants and, thanks to you, the entire litigation team will benefit from an organized and paginated record.

  1. I had to laugh about the two cases I am in the middle of right now. The first case is Plaintiff and the records were on a disc. These records were a mess and some documents were upside down – thank goodness for laptops! The second case is in hard copy, highly organized and paginated. I complemented the paralegal who made my job easier.
    You never know what you are going to get.
